ESSENTIAL FUNCTIONS:

  1. Greet all visitors and serve as the initial and primary point of contact upon arrival to the agency.
  2. Professionally represent the organization through incoming/outgoing calls, personal contact and correspondence.
  3. Responsible for all incoming/outgoing mail for the organization; prepare necessary correspondence (copies, electronic mail, etc.).
  4. Communicate effectively with vendors regarding materials/supplies, quotes, scheduling delivery, etc.
  5. Coordinate with property manager of the San Marcos location to ensure building meets standards of safety for all team members.
  6. Work closely with Director of Prevention Programs on daily support for Region 1, 4, 6 & 7, to uphold the core principles of Cenikor's culture and create a positive working environment for all team members.
  7. Compile, sort and verify the accuracy of data for grant programs: Prevention, Project AIM and Youth Recovery Programs for Regions 1, 4, 6 & 7 (Amarillo, Tyler, Conroe, and San Marcos) for weekly/monthly requisition forms with receipts, bi-weekly timesheets, and prepare bank deposit in compliance with the cash receipts / deposits policies, before final approval from Director of Prevention Programs.
  8. Maintain inventory of agencies office equipment - computer equipment, office furniture and maintain file room compliance with organization policies.
  9. Work closely with Human Resources Department and Director of Prevention Programs regarding all new hire paperwork, and participate in onboarding processes of new hire team members in the San Marcos location. Attend any training related to Human Resources, Cenikor training, or Health and Human Services Training.
  10. Responsible for recruiting, interviewing, and facilitating selection of qualified applicants for assigned positions.
  11. Manage applicant tracking system for assigned positions ensuring accurate selection criteria and follow up communication with candidates.
  12. Coordinate the applicant selection process with hiring managers. Follow up with hiring managers weekly or more frequently as needed for critical positions.
  13. Maintain professional, effective, and timely communication with all candidates to ensure a positive candidate experience.
  14. Maintain compliance with federal and state regulatory standards as well as Cenikor policies and procedures.
  15. Ensure completion of Big 5 performance management tool by the required deadlines and use of SMART goals to support annual performance compensation review.
  16. Assist with special projects and events as needed by Cenikor Leadership and Director of Prevention Programs.
  17. Maintain strict confidentiality on all organizational matters and refer questionable issues.
  18. Perform additional duties as assigned and consistent with the non-exempt functions as defined in this job description.

Education:

  • High School Diploma or equivalent required

Experience:

  • Three or more years of related experience preferred.
  • Experience with software including Microsoft Word, Excel & Outlook

Physical Requirements:

  • Ability to sit and use computer workstation, including keyboard and visual display terminal, for extended periods of time.
  • Ability to see within normal parameters.
  • Ability to hear within normal range.
  • Ability to move about.
