SCHEDULE:

Monday-Friday: 8 a.m.- 5 p.m.

ESSENTIAL FUNCTIONS:

1. Greet all visitors and professionally represent the organization through correspondence, telephone

and personal contacts.

2. Handle incoming calls for the organization and outgoing follow-up calls as required.

3. Responsible for all incoming/outgoing mail for the organization; prepare necessary correspondence

(fax, copies, electronic mail/ media, etc.).

4. Coordinate Admissions appointments or other calendar appointments for the Counselors/Outpatient

Manager/Access Center/ Insurance Department, as requested.

5. Work closely with the Admissions/ Access Center and Insurance Department to ensure accurate and

timely communication of client information.

6. Responsible for knowing Third Party Payor process related to verification, authorization, and

reauthorization, as well as client responsibility and collections. Work with insurance and billing

department to actively manager Third Party Payor clients to ensure quality care and fiscal

responsibility.

7. Provide effective communication to client/family, team members, and other health care in regards to

benefits, appointment scheduling, client responsibility via email or other means; providing proper

forms for financial responsibility, self pay clients, payments arrangements and/ or admissions

payments.

8. Assist in all functions associated with Admissions, including collecting and coordinating client

responsibility with Business Manager and Accounting Assistant.

9. Assist the Clinical Staff with screening clients and ensuring all admissions documentation is

complete and accurate.

10. Assist with the referral and/or wait list, as requested.

11. Communicate admissions/administrative information to the Counselors, Outpatient Manager, Access

Center Supervisor and Insurance Department as needed.

12. Maintain all closed client files and manage the central filing system for these records.

13. Maintains patient records by obtaining, recording, and updating personal and financial information

in software system for monthly reporting and appropriate billing and authorization purposes.

14. Manage office supplies for the program.

15. Uphold the core principles of Cenikor's culture and create a positive working environment for

all team members.

16. Manage facility cleanliness standards to ensure professional presentation for clients at all times.

17. Maintain strict confidentiality on all client and foundation matters and refer questionable issues to

Outpatient Manager/Director of Admissions and Access Center.

18. Perform additional duties as assigned and consistent with the non-exempt functions as assigned in

this job description.

QUALIFICATIONS FOR THE POSITION:

Skills, Knowledge and Abilities:

? Knowledgeable about substance abuse treatment, prevention, and aftercare.

? Knowledgeable of insurance, Medicaid and state funding admissions criteria and timing.

? Presents a professional, positive image.

Education:

? High School Diploma or GED.

? Some college preferred.

Licensure Required:

? None

Experience:

? Two or more years of administrative or related experience required.

? Previous non-profit and/or admissions experience preferred.
